Data Deletion Instructions

NinjaOtter takes your privacy seriously. You can request the deletion of your account and all associated data at any time. This page explains how.

What Data Gets Deleted

When you request deletion, we permanently remove:

Your account information (email, name, password hash)
Your business profile (name, type, services, hours, location, phone number)
All customer conversations across every connected channel (SMS, phone, email, Facebook Messenger, Instagram, webchat)
All bookings, appointments, and schedule data
Uploaded files and documents
Connected channel credentials (email IMAP/SMTP, Facebook Pages, Instagram accounts)
Voice call recordings and transcripts
Analytics and usage logs tied to your account

Subscription and billing records managed by Stripe are retained by Stripe according to their own policy and applicable tax/accounting laws. We also retain minimal anonymized records required for legal compliance.

How to Request Deletion

Option 1 — From the Dashboard (fastest)

Log in to your NinjaOtter account at ninjaotter.io/dashboard
Go to Settings → Account
Click Delete Account
Confirm the deletion. Your account and data will be permanently removed within 30 days.

Option 2 — By Email

Send an email to hello@ninjaotter.io
Use the subject line: Data Deletion Request
Include the email address associated with your NinjaOtter account
We will verify your identity and confirm deletion within 7 business days

If You Connected Facebook or Instagram

If you previously connected a Facebook Page or Instagram account to NinjaOtter and want us to delete data we received from Meta without deleting your entire NinjaOtter account, you have two options:

Disconnect the channel from your dashboard: Settings → Channels → Facebook / Instagram → Disconnect. This immediately stops message processing and triggers deletion of all message data we received from that channel within 30 days.
Email us at hello@ninjaotter.io with the subject line "Meta Data Deletion" and we will remove all Facebook/Instagram-sourced data from your account.

You can also manage and remove NinjaOtter's access from Facebook directly: Facebook Settings → Business Integrations → NinjaOtter → Remove.

Deletion Timeline

Immediate: Your account is deactivated and you can no longer log in.
Within 30 days: All personal data, conversations, and business information are permanently deleted from our active databases.
Within 60 days: Data is purged from nightly database backups.

Confirmation

Once deletion is complete, you will receive a confirmation email at the address on file (unless that email has already been deleted). You can also email us at any time to confirm the status of your deletion request.
